Delegating a File from the Master Client File (Desktop)
What it is: The process a manager uses to send selected working papers or financial data from the master client file to a team member (clerk) for them to work on independently.
What it's for
Delegation splits the work on a client file across team members. The manager selects the sections to delegate, assigns them to a specific clerk, and saves a delegation file (.dxo) that the clerk books in on their own machine. While the sections are delegated out, they appear grey and Read Only in the master file — preventing conflicting changes until the delegation is returned.
How to do it
Delegate Working Papers
- Open the client file and go to Client Setup, then select Delegation.
- Tick the working papers and/or financial data you want to delegate.
- Enter the team member's name under Clerk and set the folder where the delegation file will be saved.
- Confirm the save location and click OK.
- Click Delegate to create the delegation file.
- The clerk's name now appears next to the delegated working papers.
- Delegated items are highlighted grey in the master file and are Read Only until returned.
Undo a Delegation
- To remove a single delegation, click the arrow next to the relevant working paper and click Yes to confirm.
- To remove all delegations at once, click Clear All Delegations.
Tip: The delegation file (.dxo) must be shared with the clerk (e.g., via email or shared drive) so they can book it in on their machine.
